How is your chapter communicating?

Teve!  Hei!  God dag!  Hello! 

No matter how you say it, greeting members is an important ritual in our chapters worldwide.  We all love to get together and share our great programs, projects and conduct the business of the Society.  The question is, how do you communicate with members prior to and after your face-to-face meetings?  How do you let members know that a meeting is coming up?  How do you follow up with details and highlights or celebrations from those meetings? 

Years ago, the common method of communicating was through mail sent via the postal service.  With the advance of technology, “regular” mail has been replaced. The use of the internet for sending and receiving emails to personal accounts has become the most popular way to communicate.  An email is received as soon as the send button is pushed.  A response to that email can be sent back just as quickly.  In addition, attachments or links can be included in emails which add to their usefulness.  Multiple members can be informed quickly and efficiently with one email and attachment or link. 

Some chapters have entered the realm of social media and use a variety of platforms to communicate with members.  Facebook is a popular social networking service that is used worldwide.  Other chapters have found the use of WhatsApp or Instagram to be helpful in communicating. 

The rise of online invitation services has made sending event and meeting information convenient and efficient. Each of these online invitation services has its own unique features.  Check out their pros and cons.  Consider whether there is free usage or a cost involved.  Our chapter used one of these services this past biennium.  It was easy to see who had replied and how many to plan on for meetings or a meal.  This also can serve to inform chapter officers of who might need a follow-up with an additional form of communication – an email, a text, a phone call. 

Cell phones and even smart watches immediately alert members to communications that come from chapter officers.  The use of text messages to tell members when a new email or online invitation has been sent can add another quick way to informing members. 

Our chapters include members across the generations, so it will be important to find out how members prefer to receive their communications.  Some members may be all in on using social media, while others are not familiar with those platforms.  Education and mentoring for members may be a chapter program so that all may be comfortable with receiving and sending emails, using social media, or online invitation services. 

What can be communicated?

Depends on the content and the situation, but here are some ideas:

-         Meeting information – date, time, location

-         Program information

-         Project information

-         Communication from chapter and state officers

-         Photos from meetings, programs, and projects

-         Messages of encouragement, especially for active educators

-         Holiday greetings

-         Notice of when publications from DKG debut (state organization and international)

-         Celebrations of members

Consider using a variety of communication tools to keep your chapter members informed.  Regular communication can help to form relationships and keep members engaged.

Journey of an International Arts & Humanities Jury Committee Member: “Time Well Spent”

After four years of serving on the DKG International Arts & Humanities Jury Committee, my tenure is coming to a close and will culminate with the live Art Gallery at the International DKG Convention held this summer in National Harbor, Maryland.  I am conflicted with this Committee journey ending.  Honestly, I have mixed emotions because I have truly enjoyed my time and yet, I know that all things must end. A new set of eyes and ideas will follow in my footsteps. Always the teacher, self-reflection was a huge part of my learning environment throughout my career.  Once again, I practiced reflection to assess the opportunity I’ve had to serve on this International Committee.  Taking a slight bend in the road for my last blog, I thought that I would share my committee journey and ultimate personal and professional growth with our readers.  Please join me in contemplation of time well spent.

Pride, accomplishment, challenge and teamwork are words that come to mind when thinking of my time on the DKG International Arts & Humanities Jury Committee.  As a committee member, we served as jurors for the bi-annual Art Gallery Submission Period. The opportunity to view and work with so many incredible women artists and writers has been inspiring.  With each season, I have been awed by the talent and creativity of our DKG membership and their willingness to share their work with us.  The committee has seen the Art Gallery grow in interest and submissions.  Within the last two years, our role has grown as writers for the blog platform on the dkg.org website.  As with most committees, we wrote and revised our strategic goals and held meetings via Zoom.  Knowing our end goals helped us to focus our priorities on the resources available to our membership for the Art Gallery and subsequent Submission Process. From various backgrounds, each committee member shared their expertise and knowledge for our committee’s productive outcomes.  From a personal and professional perspective, it was a positive, enlightening experience for me.

Was this challenging?  Absolutely.  With challenges come accomplishments.  Always looking for improvement in the committee resources, our team worked to revise and create effective resource tools to create a user-friendly submission process.  Adding on to the hard work and dedication of the committee members who came before us, we took pride in our work.  Honoring our amazing artists was key and our Art Gallery provided a means to showcase the multi-talented members of Delta Kappa Gamma on an international scale.  Over the course of four years, with new ideas and input, change within our committee work happened for the better. With the inclusion of the blog post platform, our monthly blogs focused upon our talented gallery artists, tips on presentation and/or strategies for artwork/literary submissions.  Finally, teamwork was a key component of our committee work.  As a novice, I was impressed with the valued input and support of our International Presidents who served as committee members during their tenure.  Committee chairwomen were open and inclusive of new ideas and helped to keep the dialogue moving towards our ultimate goal: to highlight and showcase the visual and literary talents of our international membership. 

I have grown.  I know it.  I feel it.  Thank you for the opportunity to serve and to be a part of something much larger than myself.  I have learned from my fellow committee members, made lasting friendships along the way, and have gained a deeper sense of my purpose in the interest of Delta Kappa Gamma International Society for Key Women Educators.

I encourage our membership across the globe to apply to participate at every level in our Society.  Sharing your talents and perspective will help to give a diverse voice to the Society’s mission and purposes.  My father, a wise man, often said, “Anything worth doing, is worth doing well.”  Will working on an international committee take time?  Yes.  Will it be challenging?  Probably. 

Will it be time well spent?  Absolutely.

The Arts & Humanities Jury Committee is looking forward to hosting the live Art Gallery at the International DKG Convention this July.  DKG members who have been accepted to present their artwork at the convention will be notified via email.  Don’t miss the 40 plus artists and their creative pieces in the Art Gallery.  The live Art Gallery will be located in the EXPO area of the convention map.  In addition, the Arts & Humanities Jury Committee will be hosting a workshop during the breakout sessions.  We hope to see you there! We are looking forward to continuing to showcase our talented members and to increase the interest in the visual and literary arts for our DKG Society.

International Convention Deadlines Approach!

If you have never attended an international convention of The Delta Kappa Gamma Society International, you are in for a treat when attending the convention at the Gaylord National.  You will strengthen the bonds with your travel companions, make new friends from around the world, learn more about The Society, enjoy powerful, motivational speakers, have an array of informative breakout sessions to choose from, see the parliamentarian process at it’s finest, and hopefully take in some of the sights around National Harbor and Washington, D. C. 

The staff at headquarters always works closely with the staff at the host hotel to keep the costs down as much as possible.  But there are deadlines to keep in mind if you are wanting to take advantage of these money saving deals.

  •         The first deadline to keep in mind is registration.  Registration should be submitted by June 9th to get the best price.  After June 9th prices increase 50%.  Keep in mind no registrations will be taken after July 2nd in order to get meal counts turned into the hotel staff.
  • The second deadline to keep in mind is your room reservation at the Gaylord National.  Headquarters as negotiated room rates at a much-reduced rate.  However, to take advantage of these rates you need to book your room by June 17th.  After this date, the Gaylord can charge their going rate at that time.  At this moment the starting rates are $353.  Don’t miss out on the rates that have been negotiated for our event.
  • If you are flying in, keep in mind that Ronald Reagan is 9 miles from the Gaylord National.  Dulles and Baltimore are over 35 miles from the hotel site and you will be paying more for transportation from the airport to the hotel.
